Privacy & Event Policies

Vendor tables are non-refundable unless the event is canceled by OKECON TCG. Table placement is based on purchase time, sponsorship level, and availability. Floor plans may be adjusted for safety or operational reasons.

Vendors are responsible for:
• Their own equipment, displays, and inventory
• Compliance with all applicable laws
• Collecting and remitting applicable sales taxes
• Maintaining a professional and family-friendly booth

The sale of counterfeit, stolen, or unauthorized merchandise is strictly prohibited and will result in removal without refund.

Vendor Insurance
Vendors are encouraged to carry general liability insurance covering their booth operations and merchandise. OKECON TCG is not responsible for lost, stolen, or damaged inventory.

Indemnification
You agree to indemnify and hold harmless OKECON TCG from any claims, damages, or legal expenses arising from your conduct, booth activity, merchandise, or violation of event rules.

Payment, Refunds, Data & Legal Notice

Payment Policy
Payments are processed securely through Eventbrite and authorized third-party processors. By submitting payment, you confirm: You are authorized to use the payment method; Billing information is accurate; You agree to the stated refund policy. OKECON TCG does not store full credit card numbers. Payment processing platforms comply with PCI-DSS security standards. Chargebacks initiated without prior communication may result in permanent restriction from future events.

Refund Policy
No refunds will be issued for: Failure to attend; Travel delays; Weather conditions; Personal scheduling conflicts; Vendor dissatisfaction with sales. If OKECON TCG cancels the event, refunds will be issued..

Information & Data Collection
We may collect: Name, Email, Phone number, Billing information, Business name, IP address and engagement data. Information is used to: Process transactions, Send confirmations, Provide event updates, Improve marketing performance, Comply with legal requirements. We do not sell personal data.

Third-Party Platforms & Advertising
OKECON TCG uses platforms including Eventbrite, Meta, analytics tools, and email marketing software. Tracking technologies such as cookies and Meta Pixel may be used for: Conversion tracking, Retargeting, Marketing optimization. Users may manage ad preferences through their browser or Meta settings.

Assumption of Risk & Waiver of Liability
By attending OKECON TCG, you acknowledge and agree that participation in a live event involves inherent risks including, but not limited to: Slip and fall injuries, Crowd-related incidents, Theft or property damage, Accidental injury caused by other attendees, Exposure to communicable illnesses, Equipment-related injuries, Travel-related risks. You voluntarily assume all risks associated with attendance. To the fullest extent permitted by law, you release and hold harmless OKECON TCG, its owners, officers, staff, volunteers, sponsors, affiliates, contractors, venue partners, and representatives from any and all claims, liabilities, damages, losses, or expenses arising from: Personal injury, Illness, Death, Property loss or damage, Financial loss. This waiver applies whether caused by negligence or otherwise, except in cases of gross negligence or willful misconduct as defined by law. Attendees and vendors are responsible for securing their own personal property and insurance coverage if desired.

Code of Conduct
OKECON TCG maintains a safe and respectful environment. Removal without refund may occur for: Harassment or discrimination, Fraud or counterfeit merchandise, Physical altercations, Disruptive or unsafe conduct.

Media Release
By attending OKECON TCG, you consent to photography and video recording. Your likeness may be used for promotional purposes without compensation.

Force Majeure
OKECON TCG is not liable for delays or cancellation due to acts of God, government mandates, natural disasters, public health emergencies, labor disputes, or venue restrictions.

Intellectual Property
OKE CON TCG branding and materials are protected intellectual property. Unauthorized use is prohibited.

Policy Updates
These policies may be updated at any time. Continued participation constitutes acceptance of the current version.
